About the role
The Community Coordinator at Vibe Coworks is a key support role that assists the Director of Operations with the day-to-day operations of Kitsap’s leading shared workspace and coworking community.
This part-time position will help ensure smooth functioning of the space, delivering a great experience for members and providing community connection and operational support to keep everything running efficiently.
This role is ideal for a proactive, hands-on leader who enjoys balancing strategic growth with operational excellence and community engagement.
Key responsibilities
Administrative + Facilities Support
- Oversee the coworking areas, meeting rooms, and common spaces, ensuring they remain tidy, functional, and well-stocked with necessary supplies. Basic cleaning and light lifting is required, including the setup / rearranging of furniture, and collection of trash post-events.
- Assist the Director of Operations with daily operational tasks, including responding to member inquiries, scheduling, and maintaining office supplies.
- Handle administrative duties such as data entry, invoicing, maintaining member records and mail processing for our virtual office members.
- Help organize and manage internal processes to improve efficiency and workflow.
Member Services + Engagement
- Greet and assist everyone entering the space, ensuring they feel comfortable and supported in finding their way around, setting up basic tech equipment, and settling in for their meeting or event.
- Serve as a point of contact for coworking members, addressing questions, assisting with booking requests, and providing a warm and welcoming environment.
- Assist with member onboarding, ensuring new members are familiar with space amenities, guidelines, and coworking resources.
- Support the planning and execution of community social events, community service opportunities, and networking activities.
- Foster a sense of community by engaging with members and guests, promoting networking opportunities, and encouraging participation in Vibe Coworks activities and events as appropriate.
Technology + Operations Support
- Help manage coworking software systems, such as member management platforms and booking systems.
- Assist in troubleshooting minor technical issues for members, such as Wi-Fi connectivity or printing problems.
- Support the Director of Operations in implementing new technology solutions to streamline operations as needed.
Event + Program Support
- Provide logistical support for community events, meetings, and workshops held in the space, helping with setup, breakdown, and coordination.
Requirements
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Excellent customer service and communication skills.
- A proactive and resourceful mindset, with the ability to anticipate and address the needs of both the Director of Operations and members.
- Comfortable working with technology and coworking management software (training provided).
- Experience in an administrative, operations, or hospitality-related role is a plus.
- Ability to work independently and as part of a team in a fast-paced environment.

- You’ve got your ego in check. There’s no task that’s “below you”. You are a self-starter team member who understands the rule of “all hands on deck” inside small organizations.
- Basic cleaning and the ability to lift and move items up to 30 pounds is required, including setting up, rearranging furniture, and collecting trash at end of shift and/or after events.
- Fluency in English; additional languages warmly welcomed.
Compensation + Role structure
- $18 per hour
- 20 hours per week
- This is a part time, on-site position.
- Most work hours will fall between the hours of 5 – 9pm, Monday through Friday, with occasional weekend and after hours.
- Any weekend or after hours will be mutually agreed upon in advance.
- You will report to the Vibe Coworks Director of Operations.
